RCL FOODS is seeking an Admin Controller to join our Vector Logistics - Finance Division. The role will be based in Linbro Park and report to the Finance Manager. The purpose of the role is to ensure management and responsibility of full Trip Reconciliation, Uplifts, Scanning and filing for the Hub, provide Financial Reporting & GL reconciliations and support Finance Controller in finance controls for the depot. The successful incumbent will need to provide customer support to both internal and external (Ops, Head Office, customers and principal).
Duties & ResponsibilitiesGeneral Financial Controls & Reporting Compile daily progress reports on status of Outstanding Triprecon Compile daily Triprecon shorts/overs reports Create, maintain and present weekly and monthly “snapshot” reports to track and trend overall area of responsibility performance Share relevant data with Depot Management teams to assist in addressing core issues, generate action plans and drive correct behaviour. Develop an in depth knowledge base of organisational processes and policies Assist Finance Controller with monthend, and cutoff procedures Assist Finance Controller with monthend and other financial reporting Assist and work closely with Internal and External Audit when requirement Ensure Audit reports are clean and items kept to a minimum Ensure compliance of all with RCL & Vector Policies and Procedures Uplifts By comparing these downloads with the previous night’s Triprecon Uplift and stock credits, compile lists of unauthorised claims by Customers and unlogged uplifts by Sales, and communicate this to relevant stakeholders Pro-actively involves and follow up with these stakeholders to improve and maintain the Uplift process Streamline existing processes and paper trails in order to reduce the risk of human error and improve speed of information delivery Stock Control Assist with daily stock control by reviewing daily stock variance reports generated and maintained between Transport, Warehouse, Triprecon and CCTV Control. Together with Security Manager, perform investigations and checks to prevent stock losses and damages Assist with monthly stock counts Ensure correct stock count procedures are followed during stock count Confirm the integrity of the count by signing off all the stock count sheets Assist Pallet Control through the triprecon process Triprecon & Scanning Ensure daily Triprecon shipments for depot are up to date and nothing outstanding older than 3 days for local deliveries, and 7 days for Primary, sleepouts and crossdocks Drive Scanning to less than 7 days outstanding – will all Triprecon reconciled scanned immediately after reconciliation Drive correct behaviour for this by closely monitoring & tracking the Night Shift Triprecon & Scanning teams Work closely with the Transport Manager, Controller, Debriefing and Cross Dock teams to achieve targets Ensure adequate controls over cash handling by regular Triprecon/Driver cash, Cash Office and Petty Cash audits and signoffs. Cost Control Participate in investigations and audits to support initiatives designed to control costs and maximise profits Continuous monitoring and scrutinizing of costs, wastage and loss in the business. This includes operating cost, physical stock loss, damages to stock and equipment and other wastage or inefficiencies Make extensive use of people and infrastructure to identify core issues resulting in wasteful spending and/or loss, i.e CCTV, Security, information from staff, information from 3rd parties etc. Team Management Lead subordinates towards meeting strategy and targets through regular communication and utilisation of full organisational talent management tool set. Support and drive the business core values Demonstrate willingness to help others and “go the extra mile” to meet team targets and objectives Conduct performance appraisals and supervise team succession and resource planning. Champion training and development of self and others through utilising available training opportunities offered by the Company in collaboration with National Training Specialists Coach and support team members where necessary to achieve objectives. Manage the employee relations climate and ensure corrective action is taken where required in line with relevant legislation and company policy. Build a high energy team to deliver accurate financial reporting and a culture of corporate governance compliance. Manage the activities of the team and ensure internal customer service requirements are met. Manage leave and general time management issues in line with organisational deliverables.
Minimum RequirementsMinimum Matric and studying towards a relevant post matric qualification Minimum of 3 - 5 yrs relevant experience, including exposure to Logistics and Cold Storage Warehousing environment Supervisory/Controller experience preferential Significant interaction with senior management within an organization SAP experience highly beneficial BW experience beneficial Highly proficient in Excel & Powerpoint
